In-house to our Unity platform

The decision to move a lottery from an in-house team to an external lottery manager is not an easy one to make, however Yorkshire Air Ambulance made the move to reinvent their lottery and give it the foundation it needed. Moving to Sterling means that an in-house team can focus on working ON the lottery’s strategy and development, and not working IN the lottery.

For example, when it comes to running a lottery, administration workload is very demanding – player communications, Direct Debit management, player queries, data management and draw administration all needs to be routinely handled.

With our Unity platform, the routine administration is taken care of. YAA expanded their team to include Sterling, which opened the opportunity for YAA to focus on the promotion of the lottery and acquisition and retention of their players.

We had been running our lottery in-house for 13 years so it was a big decision for us to outsource and we were quite nervous about making the change, but we knew it was something we had to do if we wanted to maximise our lottery’s potential.

We also knew that we had to choose the right ELM to support us with the transition and growth of the lottery and when we met Sterling we felt like they had similar values to our own and our lottery would be in very capable hands.

Evolution through Unity

As part of the onboarding process, we took on and coordinated various aspects of the administration. Our migration process included:

1) Communications plan

Rebranded letterhead and envelopes were sent out to players, to communicate changes to the lottery and establish the new image.

2) Direct Debit management

We realigned YAA’s Direct Debits to tidy up and formalise the existing process and assigned set dates for players.

3) Compliance refresher

We provided compliance refresher training for members of staff, reviewed and updated existing policies, and we plan to further support YAA with licence changes.

4) New prize structure

Unity boasts a significant prize structure, including a chance for their players to win a £25,000 top prize.

5) Successful kick-off

Working with us allowed a switch in focus for YAA, and we plan to spearhead the lottery to even further success.

We built a strong trusting relationship from the beginning making sure all stakeholders were involved from the kick off meeting and throughout, which really helped move the project along smoothly as everyone involved knew what was required and why.

We were very aware of how important this lottery conversion was for YAA and how much time the team were going to get back from releasing the admin duties to us, but we were also aware that the team were nervous. We built a strong trusting relationship from the beginning making sure all stakeholders were involved from the kick off meeting and throughout, which really helped move the project along smoothly as everyone involved knew what was required and why.

There was a lot of change happening to the lottery all at once, to help put the lottery in a good position for relaunch, development and growth. It was our job to support and guide YAA through every step of the conversion and beyond to ensure the lottery reaches its true potential.
